Delivery times (+ driver monitoring + deactivation options for webshop and delivery portal accounts)

What
The dashboard includes the management and monitoring of delivery times, the display of driver utilization, and the evaluation of the actual delivery times. In addition, webshops, delivery options, and delivery portal accounts can be temporarily deactivated.

Expected vs. actual delivery time

In the dashboard under "Current delivery time" you have an overview of the expected and the actual delivery time. The display shows the deviations between the set delivery time and the actually achieved delivery time, thereby providing a quick assessment of current delivery performance.

The delivery time describes the time from when the order arrives in the system until the product is handed over to the customer. It is communicated to the customer, among other things, in the order confirmation in the webshop, the app, and the order email. It is also, where applicable, transmitted to the delivery portals.




The actual delivery time is, depending on whether this function has been activated by someone in the system, calculated automatically. It is made up of the preparation time of the last order and the Google-calculated travel time to the customer. If there was no previous order, then SIDES uses the minimum preparation time specified in the "Settings" of the "Stores" in the Admin (under Admin: Store management > Stores > Edit > Settings > Delivery and take away settings > Minimum time for preparation / pick-up) as the basis for the calculation.

The expected delivery time can either be calculated from the values in the store settings or from the system's live data. If you use the values from the "Settings" of the "Stores" in the Admin, the delivery times can be adjusted as needed by someone in the "Process delivery time" tab.



Distribution of actual delivery times by percentage

The figure below shows the graph for the percentage distribution of the actual delivery time.

This provides an overview of how the actually achieved delivery times are distributed percentage-wise over the course of the day and across different time ranges.

Using the three-color traffic light system, you can see how many orders were delivered within an acceptable time and how many took too long.

You can assign the time frame to each color yourself. In the "Settings" of the "Stores" in the Admin (under Admin: Store management > Stores > Edit > Settings > Delivery and take away settings > Delivery time meter - green: + Delivery Delivery time meter - yellow) you set the values for the various levels (in the example: up to 15 min, up to 30 min, etc.). These are criteria that represent, according to your own preferences, good/acceptable or unacceptable/undesired delivery times.





Driver monitor

With the Driver monitor, which you can find on your dashboard under the delivery times section, you have an overview of your logged-in drivers.

Here you will only find the employees listed whose employee role has been declared as a driver in the Admin and who are logged in as a driver.

This allows you to view their availability (waiting since), delays (late since), and expected return times (back in) in the store.





Process delivery time

To change the "Expected delivery time"/"Current delivery time" as well as the "Current preparation time", you need to edit the number using the slider, either by dragging the bar to the corresponding value, or by simply clicking directly on the bar at the corresponding value.

This is especially useful during times of high demand – e.g. at lunchtime (12:00–14:00) or dinnertime (17:00–19:00) – in order to communicate a more realistic time to the customer. However, the times can only be adjusted in 5-minute increments (13 minutes or similar times are therefore not possible).

If the time is calculated from live data, it cannot be changed on the dashboard. The settings for this can be found in the Admin under "Global store settings" in the Admin (under Admin: Global settings > Global store settings > Other Settings > Call center and POS settings > Calculate delivery time from live data).




Note: If a higher minimum delivery time has been set for the delivery area, then the minimum delivery time of the delivery area is used instead of the manually entered current delivery time. This means the total delivery time then results from the minimum delivery time of the delivery area plus the preparation time.





Shops and portals

If you are unable to keep up with production of the goods, you can also temporarily close the webshop completely.

It is also possible to temporarily deactivate only the option for "
Delivery" or "Pickup" in the webshop.

You can also temporarily deactivate delivery portal accounts here, meaning the option to order from you via a delivery portal.

These options must then be deactivated or reactivated manually as needed. Afterwards, you must click "Save" at the bottom.
